We only collect the data needed to operate the Service:
| Account information | Name, email address, company name, and role (employer or employee). |
| Attendance records | Clock in/out times, break times, and assigned work location. |
| Location data | GPS coordinates captured only at the moment you clock in or out, used to confirm on-site attendance. We do not track your location continuously or in the background. |
| Leave information | Leave requests, dates, and any reason you choose to provide. |
| Payslip documents | PDF payslips uploaded by your employer and stored securely so you can download them. We do not generate or calculate pay; payslips are prepared by your employer. |
| Technical & log data | Device/browser information, IP address, and activity logs used for security and the audit log. |
| Payment data (employers) | Subscription payments are processed by Stripe. We do not store your card details. |
We share data only with service providers needed to run the Service:
We never sell your personal data to anyone.
We retain your data for as long as your account is active or as needed to provide the Service. Attendance and payslip records may be retained where required to meet legal or employer record-keeping obligations. When data is no longer needed, it is deleted or anonymised.
Under UK GDPR you have the right to access, correct, delete, restrict, or object to the processing of your personal data, and to data portability. You may also withdraw consent and lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.
You can request deletion of your account and associated data at any time via useworktime.com/delete-account.html or by emailing us.
We use industry-standard measures including encrypted connections (HTTPS), access controls, and a private storage bucket for payslip documents (accessible only via short-lived signed links). No method of transmission is 100% secure, but we work to protect your data.
The Service is intended for use by businesses and their employees and is not directed at children under 16. We do not knowingly collect data from children.
We may update this Privacy Policy from time to time. The "Last updated" date above reflects the latest version. Significant changes will be communicated where appropriate.
